How to Create a Private Wedding Photo Gallery Guests Can Actually Use

A practical way to collect guest photos in one private event gallery without turning the wedding into a tech-support session.

Wedding reception with guests gathered around tables

For a wedding, private should mean that the gallery is not being presented as a public social feed and that the couple controls the event link and organizer access. It does not mean a shared link is impossible to forward. Treat the QR code like an invitation: place it where guests can see it, avoid posting it publicly, and use the gallery settings available to you if the event needs tighter access.

Privacy is a workflow, not just a label. Decide who gets the QR code, who can upload, who can view the gallery and who has organizer access before the reception starts.
  1. 1Create the event and give the gallery a clear name such as ‘Emma & Leo — 18 September’.
  2. 2Open the guest link on a second phone and test a real photo upload.
  3. 3Download the QR code and place it on table cards, the welcome sign or both.
  4. 4Choose the moderation and display settings you want before guests arrive.
  5. 5Keep the organizer link separate from the guest-facing QR code.

A useful test is to hand the QR card to someone who has never seen CamLove. If they can scan, choose a photo and finish the upload without instructions, the setup is ready for the event. This matters more than adding another decorative instruction paragraph to the card.

Why is a browser upload easier for mixed-age guest lists?

Wedding guests use different phones, accounts and apps. A browser-based upload keeps the instruction simple: scan the code, open the page and choose photos. Guests do not need to join a new group chat or create a CamLove account. That makes the same card usable for relatives, colleagues and international guests.

How should you control access during the event?

  • Put the QR code inside the venue rather than on a public social post.
  • Use a separate guest link and organizer area; never display admin access on a projector.
  • Check new uploads periodically if you use moderation.
  • If you run a Live Photo Wall, treat the display URL as a display tool, not as organizer access.
  • After the event, remove public signage and decide how long you want to keep sharing the guest link.

Yes. The collection and the display can be two different experiences. Guests continue uploading from the QR page while the host opens the Live Photo Wall on a TV or projector. New images can become part of the reception without giving the public screen access to the organizer dashboard.

What should you do with the photos after the wedding?

Do not let the online gallery become your only archive. Review the uploads, download the files you want to keep and create at least one separate backup. The private gallery is excellent for collecting and reviewing memories; your long-term archive should still live in storage you control.

FAQ

FAQ

Do guests need a CamLove account?+

No. The guest upload flow opens in the browser from the event link or QR code.

Can somebody forward the wedding gallery link?+

Any shareable link can potentially be forwarded. Keep the QR code within the guest group and use the available access controls when you need additional restrictions.

Should the QR code be on every table?+

For larger weddings, repeating the QR code usually makes participation easier because guests do not have to remember a sign they saw at the entrance.

Can the gallery be shown on a projector?+

Yes. Use the dedicated Live Photo Wall/display workflow rather than exposing organizer pages on the screen.

Should I keep another backup of the wedding photos?+

Yes. Download the files you want to preserve and keep at least one independent backup outside the event gallery.
